Contact management

Insightly allows you to manage relationships with leads, contacts, organisations, partners, vendors and suppliers in just a few clicks. The contact management service displays everything about a contact from background, email history and important dates, to any opportunities or projects they have been involved in. Automated contacts pulls information from emails and adds it to your address book. You can also quickly categorise your contacts with tags and notes, which can be shared with colleagues using the CRM system and appear in search.

Keep up to date

Stay up-to-date with what’s going on via the live dashboard which displays everything that’s going on in your business minute by minute. See upcoming tasks, view overdue items and find recent comments left by users in your business. You can also assign specific tasks and projects to individual users to track and monitor progress.

Send mass emails

Insightly allows you to create email groups for certain customers and send out mass emails to develop relationships and send out marketing messages. Insightly integrates with MailChimp so you can easily important contacts from MailChimp to Insightly.

Lead management

As soon as you get information about a contact who might be interested in your business you can add them as a lead in Insightly. Plus, the CRM system’s ‘web-to-lead’ service automatically creates a lead using information collected from a form on your website. Once you know the lead is interested, you can convert it into an opportunity which will automatically link information about the organisation into Insightly.

Insightly is reasonably priced for the number of features it provides making it the perfect CRM software for businesses with a smaller budget. Unlike some CRM systems, the free plan includes some of the top features including advanced reports, mass emails (10 per day) and storage for 2500 records. Although only two users can use the free plan, this would be ideal for micro businesses finding their feet in the CRM world.

Once you get into the paid plans you get more features and greater capacity. The plus plan is $29 a month (billed annually) and includes additional features such as unlimited email templates, smart alerts, a business card scanner to import leads quickly and 100k records storage capacity. For $49 a month (billed annually) you get the professional plan, which includes a mobile app for CRM on the go, onboarding sessions and much more storage and capacity available. Finally, the enterprise plan will cost you $99 a month (billed annually) and contains the same features as the other packages with much more storage and capacity available to suit a growing business. Businesses have the option to pay monthly or yearly for all the plans and are free to cancel at any time.

Benefits and limitations to using the software


  • Straightforward: Insightly is one of the most user-friendly CRM suppliers out there. The interface is simple to use and you can clearly view what’s going on in your business from the dashboard.
  • Time saving: Insightly has worked hard to make the system as efficient as possible. Features such as the ‘as you type’ search bar, automated contacts and the business card scanner helps you to save time so you can concentrate on running your business.
  • Integrated with other apps: Wouldn’t it be great if all the apps you already use could be seamlessly integrated with your CRM software? Insightly does just that, eliminating the need to manually import key contacts and information. The CRM software integrates G Suite, Office 365, MailChimp and social media sites, aswell as providing access to a REST API for custom integration. Accountants love Insightly because it integrates with accounting software and apps, such as Quickbooks.
  • Customer service: In addition to a range of features, Insightly has exceptional customer service. They have a free ‘getting started guide’, as well as recorded and live webinars and video tutorials all on the Insightly Resources page of their website. You can also email or call the team at any stage and they will happily help you out.


It was a challenge trying to find faults with Insightly because it really is a great tool for smaller businesses. However, we found that the reports feature is quite limited; while other CRM systems allow you to create reports on several factors, such as tasks and projects, Insightly focuses solely on opportunities and pipelines and includes nine customisable reports. While these reports will be enough for most small businesses, if you’ll need more customisation than this then perhaps Insightly is not the right CRM supplier for your business.


Insightly contains all the features that a small or micro business requires from a CRM system. It has been designed to save you time and help to make managing your business much easier.

The cloud based software allows you to manage your CRM on the go. Paid plans include an Insightly mobile app and free users can access the responsive Insightly website via mobiles and tablets.

If you are new to CRM suppliers, then the customer service provided by Insightly will provide you with everything you’ll need to get started and feel confident using the system.
